Learn how to upload, view, rename, and delete assets in your workspace.
Upload an asset
From the editor
The fastest way to add an image is directly while writing — the asset uploads and inserts in one step.
- Open a document.
- Insert an image to get an Add a file block, then select Upload and choose a file — or From library to pick an existing asset.
- Or drag a file from your computer straight into the editor.
From the Files panel
Upload files without placing them in the text.
- Open a document.
- In the right sidebar, open the Files panel.
- Select Add file, then Upload from device — or Choose from library to attach an existing asset.
Every uploaded file lands in your workspace asset library automatically.
View assets
On your workspace Overview, select the Assets tab to see every asset in your workspace. Each entry shows a thumbnail for images (or a file type icon for other formats), along with the filename, file type, and file size. Use the search box to filter by filename or file type.
Select any asset to open its Asset Details dialog, where you can see a full image preview, upload date, and a Used in Documents list showing every document that references the asset. You can also Download the file from here.
Use assets in documents
The editor inserts the correct Markdown syntax automatically when you upload or select an asset:

The link uses the file’s path within the document, not an asset ID.
Rename an asset
Renaming changes the display name only — existing document references stay intact.
- Open an asset’s Asset Details dialog.
- Next to Name, select the edit (pencil) icon.
- Enter the new name and select Save.
Delete an asset
- Open an asset’s Asset Details dialog.
- Select Delete — it reads Delete (N refs) if documents use the asset.
- Confirm. For a referenced asset, select Delete Anyway.
Keep in mind: Deleting an asset that documents reference breaks those image links. Check the Used in Documents section before deleting.
Find orphaned assets
Orphaned assets are files no document references. They take up storage without serving any purpose.
- On your workspace Overview, select the Assets tab.
- Select an asset and check Used in Documents.
- If the list is empty, the asset is safe to delete.
Two limits, not one
A plan caps both the total you may store and the size of a single file. The second one is the one people meet first.

An upload that is under your remaining space can still be refused for being too large on its own.
There is also a server-wide cap on a single upload, independent of any plan, and whichever limit is smaller is the one you meet. If a file well inside your plan’s per-file allowance is refused, that is the one you hit. For video it is usually the answer rather than a problem — embed from YouTube or Vimeo instead of uploading.
Reduce storage usage
Delete unused assets first — orphaned files are the fastest win. Compress images before uploading using a tool like TinyPNG or ImageOptim. Choose the right format: JPEG for photos, PNG for screenshots, SVG for diagrams. For large videos, embed from YouTube or Vimeo rather than uploading the file directly.
