Project Collaborators

Grant workspace Members elevated access on a single project without changing their workspace role.

Workspace Members can read every document but cannot edit by default. Collaborators give a Member write or admin access on one project — useful for contractors, specialists, or anyone who only works in part of your workspace. Workspace Admins and Owners always have full access to every project, regardless of collaborator settings.

Collaborator roles

Write — read drafts, plus create and edit documents.

Write and Delete — everything in Write, plus delete documents, edit project settings, and view the collaborator list.

Admin — everything in Write and Delete, plus manage collaborators and delete the project.

Note: The Member who creates a project is automatically assigned the Admin role on that project.

When to use collaborators

Add a project collaborator when a Member needs to edit documents in one specific project, when someone should manage a project without becoming a workspace Admin, or when contributors work on some projects but not others.

Granting the same access to a whole group? Create a Teams and grant it a role once — people and teams appear together in the project’s access list, and a person’s effective role is the highest they hold from any source.

Add a collaborator

  1. Open your project.
  2. In the top bar, select the Project settings gear icon.
  3. Expand the Collaborators section.
  4. Select Add Collaborator.
  5. Search for the Member by name or email.
  6. Pick a role: Write, Write and Delete, or Admin.
  7. Select Add.
  8. Select Save Changes.

The Member gets the selected access once you save.

Change a role

  1. Open Project settings → expand Collaborators.
  2. Find the collaborator in the list.
  3. In their role dropdown, pick the new role: Write, Write and Delete, or Admin.
  4. Select Save Changes.

Remove a collaborator

  1. Open Project settings → expand Collaborators.
  2. Find the collaborator in the list.
  3. Select the Remove icon next to them, then confirm with Remove.
  4. Select Save Changes.

The Member goes back to default workspace access — read-only.
